The Cash Flow Process

Our proprietary Cash Flow Process is specifically designed to highlight the inner workings of a multifaceted relationship between the client/debtor, agency/debtor, and client/agency relationship.  This process was designed to showcase the strengths and weaknesses within each facet of the relationship so we can improve on the weaknesses and combine strengths for an improved cash flow.

Phase One - Your Office

  • "Front Desk Management"
    • Make sure all patient/customer personal information is accurate and updated.  This is the beginning stage in obtaining, verifying and updating important demographic and personal information that is a vital piece in the agency/debtor relationship in the beginning stages of the collections process.
    • Continually convey your office's financial expectations to each patient/customer.
  • Timely Phone Calls & Statements
    • Ensure your staff is trained to remove all opportunity for excuses from the patient/customer, and enforce the financial policy through timely statements and phone calls.
  • Firm But Fair Financial Policies
    • All staff members should be informed and trained to implement and enforce your financial policies and expectations to each one of your patients/customers.
  • Insurance Follow-Up
    • Make the patient/customer responsible for THEIR insurance.  Sometimes a simple phone call will resolve the balance and remove any need for collections - either way, little cracks can cost big bucks!
  • 90 Day Delinquent Accounts
    • TIME COSTS MONEY.  As your accounts age, they become harder and harder to collect.  "90 days" is a good rule of thumb as it supplies the patient/customer ample time to pay wheelbarrelyour office, yet provides us with better odds at collecting the balance-in-full.

The above steps can be labor intensive and very costly - but yield the greatest results in the long-run.  Early Recovery Services can become an "extension of your office" and aide in any step at any point in The Cash Flow Process. You can schedule a needs analysis to determine your strengths and weaknesses within this portion of the process, or we can partner together and get your cash flowing!

Phase Two - Our Office

  • Firm but Fair Collection Activities
    • Upon receipt of your account(s), our highly trained collector  begin our firm but fair collection activities through negotiation and problem solving.
  • Utilizing Status Codes
    • State of the art software enables our trained staff the best opportunity to know where and when to "move" accounts so they receive the best opportunity for contact to be made.
  • Tracking Scenarios
    • Insurance follow-ups, attorney representations, estate verification, bankruptcy, etc. are all part of the collections process and we have a department completely devoted to ensuring timely follow-up with each and every possible scenario.
  • Skip-Trace
    • We have a team of selected and highly trained individuals that specialize in locating and retrieving current information for patients/customers due to a lack of "useful" information.
  • Pre-Legal
    • Our primary goal is to collect each and every account balance in-full without the need for litigation.  However, as a last resort it is sometimes needed in order to continue the collections process.  Our pre-legal department was designed to firmly enforce your expectations with a higher level of negotiation and verify all possible legal avenues of resolving the balance.  We stand behind your firm but fair financial policy to ensure your patients/customers are given a fair chance at payment-in-full before any legal avenues are explored.
